Event Planners: Why You Should Hire One
We know - you’re diving deep into your wedding preparations and counting every dollar in your wedding budget to ensure you get the best value, while covering all of the needed bases. So you ask yourself, “Do we REALLY need a wedding planner and coordinator, or can we do this ourselves?” The answer is, it depends. If you can afford it, we highly suggest hiring a Wedding Planner - and not just because that’s what we do! Here’s why:
We are there for YOU. Many venues provide an on-site coordinator to their couples as part of their wedding packages. This can be great, but please keep in mind, this person works for the VENUE, not for you. In most cases, on-site coordinators are responsible for the big picture and anything related to the venue that may or may not include layout of the space; setup of tables and chairs; consult on menu choices if they offer on-site catering; room block assistance if they offer on-site lodging; and management of their staff. If you have a large group of family and friends that are into DIY and ready to be all hands on deck to assist you all weekend, this choice can be a great option for you.
OUR primary focus is on YOU. We help guide you in your decision making: Not sure how many meal selections are appropriate for your reception, or how many people will fit at a certain size table? We can help. How long should your ceremony be, and how will your guests know how to get to cocktail hour? That’s where we come in. We can help you to find the perfect venue for your wedding day. We vet vendors for you to ensure that you are hiring the best fit for YOU and your budget.
Speaking of budget, we can help you build or manage your budget. We review all of your vendor contracts prior to your wedding day and we ensure that each vendor carries out their contracted services on the day of. We are the main point of contact for your vendors for at least one month prior so that you don’t have to stress, and we create a comprehensive schedule for your wedding weekend alongside your vendor team. We check in with YOU to make sure that you are hydrating, eating, and have everything that you need. We stay until the end of the night and bring your gifts and a meal back to where you are staying for that late night craving. We focus on YOU and all of the DETAILS leading up to and on your wedding day to bring your dream wedding to life so you, your family and friends can just soak in every moment. Wedding Planners and On-Site Coordinators make a great team and a team you can trust in on your most special day.
You can’t be everywhere at once. We know - you have the best intentions, but that doesn’t mean you have to do it all. The morning of your wedding should be a peaceful, fun time, hanging out with your friends and family, pampering yourself and getting ready for your wedding. It should not include setting up the venue space, putting out chairs, directing vendors as they arrive, running to the store to get forgotten items, and putting out last minute fires as minor issues are discovered - “Did we get enough dessert plates? Where did the signage go? Did you remember the easel to hold up the signs??” These are all things that your Event Coordinator will be handling.
We specialize in unique weddings. Don’t get us wrong, we work at many venues and love doing weddings at a facility that is designed for events and weddings. But in the last few years, many people are turning to backyard weddings. Are they cheaper? Not necessarily. Remember, with a venue, all of the infrastructure is already in place. Are they easier? No, but they are also not automatically more difficult. Each type of wedding has its own challenges and specifics. Are they more comfortable? Yes, they can be, as you are entertaining your friends and family in your space.
We use the term “backyard weddings” in reference to any wedding on private property that does not normally host weddings. We help to ensure that you have covered all of the details and know what to expect as you are contracting other vendors - like equipment and necessary spaces for the caterer, or having a restroom trailer on site to handle the number of guests you are inviting. Recently, we planned and executed a 3-day music festival wedding for our clients, complete with some guests camping onsite, and the Groom’s parents catering a large portion of the weekend. Finding and bringing in extra refrigerators, coolers, an ice machine, tick and bug deterrents, cleaning up trash, turning over buffets between meals, monitoring water usage to not dry out the well, and running to the store when needed were only some of the details we covered to ensure our clients were able to enjoy the party that they were hosting at their house. Whatever is needed, our goal is to provide a solution.
